FAQ

Frequently asked questions

Zovv is an AI accommodation agent that books and manages hotels, extended stays and crew housing for businesses. These are the questions we hear most on discovery calls. If yours is not here, ask us.

What Zovv is

What is Zovv?

Zovv is an AI accommodation agent for businesses. You describe what you need in plain language, for example "12 rooms near the Austin job site for 6 weeks with kitchenettes, under $120 a night", and Zovv finds matching hotels and extended-stay properties, applies your travel policy, books them, and handles the paperwork through to payment and invoicing. It is built by WWStay, a workforce accommodation company founded in 2012.

Who is Zovv for?

Companies that book accommodation for more than one person at a time: project and field-operations teams housing crews, corporate travel and procurement teams, HR and relocation teams, travel management companies (TMCs) and agencies, and event or group-housing coordinators. It handles individual business trips too, so one platform covers road warriors and crews.

Does Zovv book extended stays and crew housing, or just hotel nights?

Both. Zovv was designed around multi-week and multi-month stays: staggered arrivals, crew rotations, shared rooms, room blocks with cutoff dates, and per-room date changes. Single-night business trips book instantly; group and extended-stay requests are negotiated with the properties by the agent and you approve the result.

Which countries and cities does Zovv cover?

Zovv has live inventory in more than 5,500 cities across more than 170 countries, through WWStay's supplier network, GDS connections (Amadeus and Travelport) and online inventory partners.

How is Zovv related to WWStay?

Zovv is the technology platform built by WWStay Inc., a workforce mobility company headquartered in Sunnyvale, California, that has arranged long-term corporate stays and project crew housing since 2012. WWStay's supplier relationships, negotiated rates and 24/7 support team sit behind every Zovv booking.

Booking and policy

How do I make a booking request?

Type it into Zovv Assist the way you would brief a colleague, or use the guided group-travel form. Teams with existing processes can also send booking data by file upload or forward confirmation emails, which Zovv parses automatically.

Does Zovv enforce our travel policy?

Yes. Rate caps, preferred suppliers, distance-from-site rules, amenity requirements and approval flows are configured once per team or project and applied to every search before results are shown. Out-of-policy options are flagged before booking, not discovered on the expense report.

How does Zovv get better rates?

Three ways: negotiated rates from major hotel chains through WWStay's volume, preferred-supplier pricing for your own programme, and an agent that negotiates group and extended-stay rates directly with properties for larger requests.

Can Zovv manage rooming lists and room blocks?

Yes. Upload the rooming list you already have as a spreadsheet, or build it in Zovv: guests are assigned to rooms and beds, each room carries its own check-in and check-out dates, and shared rooms and staggered crew rotations are handled per guest, so the spreadsheet stops being the system of record.

What happens when plans change mid-stay?

Extensions, early departures, swaps and added travelers are made in Zovv, which sends the change to the property and keeps the booking, rooming list and payables in sync.

Payments, reconciliation and invoicing

How are hotels paid?

With ZovvPay, Zovv issues a virtual card per booking and pushes payment to the property, so travelers do not need to front costs and every hotel charge is tied to its reservation. A payables ledger shows what is owed and what has been paid.

Can Zovv reconcile hotel folios?

Yes. Zovv reads folios that arrive by email or upload as PDFs or images, extracts the per-room charges, taxes and fees, matches each folio to the booking and payable by property, dates and amounts, and flags what differs so finance reviews exceptions instead of every line.

Does Zovv handle invoicing?

Yes. Supplier and client invoices are built from the bookings themselves, including bulk invoice runs, and client card payments carry Level-3 line-item data, so invoicing is no longer a separate manual step after the stay.

How much does Zovv cost?

You can sign up and start booking at no cost. The back-office modules (rooming lists, folio reconciliation, ZovvPay and invoicing) are priced per module and by usage, for example per room-night or per folio, with a monthly platform fee. Pricing depends on your volumes, so request a demo and we will quote against your numbers.

Integrations, security and support

What does Zovv integrate with?

GDS systems Amadeus and Travelport, SAP Concur, ConnexPay for payments, Vervotech for hotel content, and online inventory from Expedia and Priceline. Booking data can also come in by CSV or Excel upload or by inbound email.

Do we have to replace our TMC or booking tool?

No. Many customers keep their existing travel management company or online booking tool for air and individual hotel bookings and use Zovv for the parts those tools handle poorly: group housing, extended stays, rooming lists, folio reconciliation and hotel payments. TMCs themselves use Zovv to serve these clients.

How is our data protected?

Zovv runs on AWS with role-based access control, multi-organization separation and audit logging. We never sell or share customer data. Security documentation is published on our Trust Center at trust.zovv.ai, and we run a public vulnerability disclosure programme.

Is there a human I can talk to?

Yes, 24/7. The AI handles routine requests and humans step in for anything unusual. Call +1 866 212 0826 or email support@zovv.ai.

How do I get started?

Sign up for free and make your first request, or schedule a demo and we will walk through your current process and show which modules fit. Most teams start with one module tied to their biggest pain point and expand from there.
